GST-Compliant ERPNext Rollout with Tally Migration for a 15-Year-Old Trading Business
Trading & Distribution Company
A 15-year-old trading business distributing industrial supplies across Gujarat, Maharashtra, and Rajasthan. 500+ invoices/month. 3 warehouses. 25 users across sales, purchase, inventory, and accounts. Previously running on Tally + Excel.
The Challenge
Outgrowing Tally — 4 Different Tools, 70% of Time Spent on Manual Data Reconciliation
The company had outgrown Tally years ago but kept patching it with Excel workarounds. Accounting was in Tally. Inventory was in Excel. Sales orders were in a custom PHP app someone built 8 years ago. Purchase orders were emailed Word documents. Reconciling these 4 'systems' at month-end took a week. GST filing was a separate nightmare — sales data from the PHP app, purchase data from Tally, inventory data from Excel — all manually compiled into GSTR-1 and GSTR-3B. The e-Invoice mandate was the breaking point — they couldn't manually generate IRNs for 500+ monthly invoices. They needed one integrated system with native India compliance — and they needed it without SAP/BC-level licensing costs.
Our Solution
Docker-Based ERPNext Deployment with Full India Compliance, Custom Frappe Modules, and Complete Tally Data Migration
We deployed ERPNext on Docker in a production configuration on their cloud infrastructure (AWS) with SSL, automated daily backups to S3, and a staging environment for testing. India Compliance app was configured end-to-end: company GSTINs, HSN/SAC code mapping, intra-state and inter-state tax templates, e-Invoice auto-generation with IRN, e-Way Bill integration, and TDS/TCS. We built a custom Frappe module for their industry-specific pricing logic — customer-specific rates, volume-based discounts, and scheme management — that standard ERPNext didn't handle out of the box. The Tally data migration was the most critical piece: 8 years of transactional data with inconsistent ledger naming, duplicate accounts, and missing opening balances. We wrote Python ETL scripts that analyzed their Tally XML export, identified 142 duplicate/near-duplicate accounts using fuzzy matching, normalized naming conventions, and migrated clean data into ERPNext. The migrated trial balance matched their last Tally balance sheet to the paisa — verified independently by their CA.
The Result
GST Filing Time Reduced 70%. Single System Replaced 4 Tools. First-Time-Right e-Invoice Generation.
“The migration from Tally was what worried us most — 15 years of data, inconsistent entries, duplicate accounts. Dhaara's team identified and cleaned 142 duplicate accounts we didn't even know existed. The migrated trial balance matched to the paisa. Our CA was impressed.”
